How to sync stock across channels: prevent stockouts and overselling

What you need

  • Seller Pao account with sales channels connected
  • Product list with SKUs
  • Accurate current stock counts

Stores selling on multiple channels simultaneously frequently oversell because each platform counts stock separately. Seller Pao syncs inventory across all channels in real time to prevent this from the start.

    Add products and assign SKUs

    Go to Products and click Add Product. Enter the product name, price, and an SKU, which is the unique identifier for each product. For multiple products, import from Excel via Import Products: download the template, fill it in, and upload it back.

    Enter your starting stock counts

    After adding products, go to each item and click Edit Stock. Enter the actual quantity you currently have in your warehouse. This figure is the starting point the system uses to sync across all channels. If a product has variants (color, size), enter stock per variant.

    Map Seller Pao products to each marketplace listing

    Go to Product Mapping. The system pulls listings from Shopee, Lazada, and TikTok. Match each channel listing to the corresponding Seller Pao SKU. For example, the red shirt size M on Shopee maps to SKU SP-RED-M in the system. Do this once; the system remembers and syncs automatically.

    Enable Auto-Sync

    Go to Settings and select Inventory Management. Toggle on Auto-Sync Stock. The system will update stock counts on every connected channel instantly whenever an order is received from any channel. One sale on Shopee reduces stock on Lazada, TikTok, and Facebook simultaneously.

    Set Safety Stock to prevent running out

    On each product, click Set Safety Stock. Define the minimum quantity you want to keep on hand, for example 5 units. When stock drops to 5, the system sends an alert and can automatically close orders on certain channels to protect that buffer.

    Enable low-stock notifications

    Go to Settings and select Notifications. Enable Low Stock Alert. Choose email, LINE, or Push Notification delivery. Set the quantity threshold that triggers the alert per product. This gives you time to reorder before stock runs out.

    Review the daily stock report

    Go to Reports and select Inventory Report. You will see a full picture of every product, what is selling fast and what is sitting. Export to Excel to share with your procurement team or to run deeper analysis. Checking this every morning makes restocking decisions much more accurate.

    Complete product mapping for all items before enabling Auto-Sync, or unmapped products will not sync.

    If stock is wrong due to a return, adjust it manually via Adjust Stock. Do not update the marketplace directly.
